Executive Assistant to the CEO

  • Role Overview: As the Assistant to the CEO, you will play a pivotal role in ensuring the smooth and efficient operation of the CEO's office. You will provide high-level administrative support, handle a wide range of executive and personal responsibilities, and collaborate closely with internal and external stakeholders to ensure strategic alignment and seamless execution.
  • Calendar Management: Proactively manage the CEO's complex calendar, scheduling meetings, appointments, and travel arrangements to optimize time and prioritize commitments.
  • Communication: Serve as the primary point of contact between the CEO and internal/external partners, filtering and responding to inquiries, emails, and calls with professionalism and discretion. Take meeting notes, document procedure changes and distribute meeting notes when needed.
  • Correspondence: Draft, edit, send, and proofread various forms of communication, including emails, reports, presentations, and other documents on behalf of the CEO.
  • Meeting Support: Coordinate and prepare materials for executive meetings, ensuring that the CEO is well-informed and equipped for discussions.
  • Project Coordination: Assist in the planning and execution of key projects, collaborating with cross-functional teams to drive successful outcomes.
  • Travel Arrangements: Manage travel logistics, including booking flights, accommodations, transportation, and itineraries, while adhering to company policies.
  • Confidentiality: Handle sensitive information with the highest level of discretion and confidentiality, maintaining a strong sense of professionalism at all times.
  • Errands and Personal Appointments: Handle personal tasks such as running errands, scheduling personal appointments, and managing personal matters as requested by the CEO. Responsible for ordering and assisting with office and kitchen supplies. Maintaining break and conference areas and supplies. Assist with CEO's children school pick-up as needed.
  • Prioritization: Identify and anticipate priorities, proactively addressing potential challenges and proposing solutions to streamline operations.
  • Expense Management: Monitor and manage expense reports, reimbursements, and invoices, ensuring accurate and timely processing.
  • KPI Management: Monitor and manage KPI’s and KPI reports, prepare, print and distribute reports for daily and monthly meetings. Gather and surrender financial documents to financial team.
  • Ad-hoc Tasks: Assist the CEO with various ad-hoc tasks, including research, presentations, event planning, filling out forms/applications, special projects, trade shows, markets, and more.
  • Events: coordinate and plan all in office events and parties.
  • Occasional travel may be necessary.
  • Qualifications and Skills: Bachelor's degree in Business Administration, Management, or a related field preferred. Proven experience as an Executive Assistant or in a similar role, supporting executives. Exceptional organizational and time-management skills with the ability to multitask effectively and adapt to changing priorities. Strong verbal and written communication skills, including the ability to draft professional correspondence and communications. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Detail-oriented mindset with the ability to maintain accuracy in fast-paced environments. High level of integrity, professionalism, and emotional intelligence when dealing with sensitive and confidential matters. Excellent problem-solving skills and the ability to work independently with minimal supervision. Strong interpersonal skills, enabling effective collaboration and relationship-building across all levels of the organization. Experience in project management and an understanding of business operations is a plus.

Accounting Specialist

  • We are seeking someone who will oversee Emerson and Friend's financial health, making strategic decisions to optimize economic performance through budgeting, financial analysis, risk assessment, and ensuring compliance with regulations. You will be responsible for overseeing all financial aspects. This is an on-site position located at our office/warehouse location. The Financial Manager will be responsible for supervision and coordination of daily accounting activities, including maintaining records, preparing reports, and ensuring accuracy across accounts and platforms. The ideal candidate possesses a deep understanding of accounting principles, and the ability to streamline processes for increased efficiency.
  • Create and monitor the budget.
  • Coding and reconciling expenses.
  • File, code, and organize expenses.
  • Generate payments for all unpaid bills.
  • Facilitate wire transfers for Factory Payments + Deposits.
  • Manage Factory Purchase Order Finances – reconciling delivery vs. invoices.
  • Monitor and add to the factory payment schedule.
  • Bookkeeping in Quickbooks.
  • Accounting to clean Balance Sheets and Profit and Loss Statement.
  • Monitor Financial, prep and present KPI statements.
